Managing your client’s expectations is very important. From the first contact to project completion if you cannot deliver what your client “Thinks” you promised you are going to be in big trouble. Be open and up front with your pricing, your availability, what work you will be doing and most importantly what your client needs to do.
Never make a promise you can’t keep. Of course the best thing to do is under-promise and over-deliver, exaggerate the length of time estimated, under-estimate what you will be able to accomplish. This gives you some breathing room if there are any surprises along the way, and when you do get early or have better than expected results you have a raving fan instead of just a pleased customer. Another trick is to over sell the budget allowing you to do more work than you originally pitched.
Search engine optimization is a very competitive industry and many times it is not possible to under-promise and still get the contract. In that case it is even more important to manage their expectations correctly. In this situation you need to have a consistent process that you can explain to your client. Helping them understand exactly what SEO can and sometimes even more importantly can’t do for them is very important. With realistic expectations your client will feel better about the results they are getting.
Set boundaries with your clients from the beginning. It is important to be reachable, answering your telephone, returning calls in a timely manner, replying to emails are all important to a good relationship. On the other side babysitting a client or dealing with a “back seat driver” can be frustrating on both ends. You should make sure that being reachable is not an invitation to call all hours of the day. As a business owner your time is valuable and you need time to get your work done.
Try setting up a timeline for sending out reports. Its ok to let them know that you don’t have anything to discuss with them because the latest reports have not come out yet. Obviously, if there is an emergency you need to be able to respond but if it’s just an over anxious client you need to be able to politely get them off the phone.
Be honest with your clients. This is actually quite a challenge some times, especially in a situation where you disagree with a client. When you are honest and set good expectations your client will always trust you. Being trusted is much more important than being liked. When your clients trust you they will stick with you and tell others about you.
